Privacy & POPIA Policy
1. Who we are
Netfuel (“Netfuel”, “we”, “us”) provides a prepaid diesel cashback and fuel-management service for South African fleets. Netfuel is an authorised reseller of the fuel-payment platform operated by Payment24 Group (Pty) Ltd, which acts as our technology operator. In this policy, Netfuel is the responsible party as defined in POPIA.

2. The information we collect
We collect information you give us when you apply, onboard and use Netfuel, and information generated when your fleet transacts:
- Contact & verification: name, company, cellphone and email (used to send your one-time PIN).
- Business: your company registration and VAT number and trading address.
- Fleet & driver data: vehicle registration, make, model, tank size, VIN and engine numbers; driver names and cellphone numbers; driver PINs.
- Transaction data: fuel type, litres, value, site, date/time and cashback earned per fill.
- Technical data: device and usage information when you use our website or portal, including cookies (see section 9).
3. Why we process it (purpose)
- To verify your identity (OTP) and assess and set up your account.
- To operate the Smart Tag and driver-PIN controls and authorise fills.
- To calculate and pay your cashback into your prepaid Netfuel balance at the end of each month.
- To provide reporting, support, billing and fraud monitoring.
- To meet legal, tax and regulatory obligations.
4. Our lawful basis
We process personal information on the basis of: the performance of our agreement with you; your consent (which you may withdraw); our legitimate interests in operating and securing the service; and compliance with the law. Where you provide information about your drivers or staff, you confirm you are entitled to do so and have informed them of this policy.
5. Who we share it with
We share personal information only as needed to deliver the service:
- Payment24 Group (Pty) Ltd — our platform operator, which processes fleet, vehicle, driver and transaction data on our behalf under an operator agreement.
- Participating fuel retailers / the refuelling network — to authorise and reconcile fills.
- Our payment gateway (Pay) — to process your annual fee; card details are entered directly with the gateway and are never seen or stored by Netfuel.
- Professional advisors, regulators and authorities — where required by law.
We do not sell your personal information.
6. Security
We and our operators apply reasonable technical and organisational measures to protect personal information against loss, unauthorised access and misuse. PINs and banking details are handled on a need-to-know basis. No system is perfectly secure; we will notify you and the Information Regulator of a compromise as required by POPIA.
7. How long we keep it
We keep personal information only as long as necessary for the purposes above and to meet legal and tax retention requirements, after which it is securely deleted or de-identified.
8. Your rights
Subject to POPIA, you may: access the personal information we hold about you; request correction or deletion; object to processing; and withdraw consent. To exercise these rights, contact our Information Officer at hello@netfuel.co.za. You may also lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
9. Cookies
Our website uses essential cookies to function and may use analytics cookies to understand usage. You can control cookies through your browser settings.
10. Cross-border transfers
Where any processing or storage occurs outside South Africa, we ensure a comparable level of protection as required by POPIA.
11. Changes
We may update this policy from time to time. The “last updated” date reflects the current version, and material changes will be communicated through our website.
